Job Title: Customs Brokerage Agent
As a Customs Brokerage Agent, you will provide global logistics and trade compliance services to clients, ensuring compliance with customs regulations. Reporting to the Lead - Customs Brokerage, you will work closely as part of a team to efficiently manage customs procedures and assist clients in navigating local and international regulations. Strong communication and organisational skills are essential to ensure smooth operations and excellent customer service.
Key Responsibilities
· Ensure compliance with both internal policies, such as Operational Process Standards (OPS), and external regulations, such as government regulations and customer requirements.
· Communicate with Customs to resolve any issues or questions that may arise during the clearance process, acting as the main point of contact between Customs (or other government agencies) and customers.
· Accurately enter all air, sea and road shipments into the system based on Key Performance Indicators (KPIs) and customer requirements, whilst complying with all relevant regulations.
· (Licensed Broker Only) Release all air, ocean and truck shipments according to KPIs and customer needs, ensuring full compliance with all applicable rules and regulations.
· Ensure that the billing team has all the necessary information to generate accurate invoices in line with KPIs.
· Act as the main contact for assigned clients, ensuring alignment with all Expeditors services.
· Maintain proactive communication with customers about all aspects of their business.
· Respond promptly to emails and phone calls.
· Regularly update and review customer Standard Operating Procedures (SOPs), ensuring all relevant parties are informed of the correct processes and procedures.
· Complete the drawback process as needed.
· Provide reports to customers as specified in their SOPs.
· Understand department workflows and consistently seek opportunities for improved efficiency.
Performance Expectations and Evaluation Criteria
· Achieve 98% accuracy in customs declarations, adhering to both internal and external policies and procedures for all filings.
· Process a minimum of 25 declarations daily.
· Use the Workboard daily to prioritize tasks based on aging.
· Complete assigned tasks within agreed-upon timelines.
· Continuously identify and address improvement opportunities in processes, systems, and customer setups.
· Master all customs procedures to handle each independently.
· Respond to all emails within 24 hours.
· Ensure Standard Operating Procedures (SOPs) for your clients are complete, understood, and updated within 24 hours of any changes.
· Contact at least 5 assigned clients each quarter, documenting the conversation in CRM.
· Provide proactive, solution-oriented customer service, guided by internal and external customer feedback.
· Resolve compliance discrepancies (UCEs) within 48 hours.
· Fulfill all training requirements as outlined by company policies and procedures.
· Complete drawback processes within 72 hours of receiving the request.
